What is process design?

Process design is the practice of defining how a business process should work so it can consistently deliver the right outcome. It goes beyond drawing a flowchart by specifying the activities, roles, rules, handoffs, and controls needed to run the process effectively.

In process design, teams usually define both a logical design and a physical design. The logical design describes what needs to happen: the sequence of activities, decisions, inputs, outputs, and responsibilities. The physical design describes how it happens in practice: systems, forms, data, integrations, approvals, and operational controls.

Good process design aligns the process with business goals and performance targets. It helps teams reduce rework, improve consistency, and make responsibilities clear before implementation. It also considers how the process connects to other internal and external processes, which is essential for avoiding bottlenecks and broken handoffs.

Because process design is closely tied to process mapping, teams often use process maps to visualize the intended flow before refining details such as KPIs, compliance requirements, automation opportunities, and exception handling. This makes process design a practical foundation for both process improvement and digital transformation.
